NOTICE INVITING QUOTATION (NIQ)

NIQ No.: PKC/NIQ/CENTENARY/2026/11, Date: 01/07/2026

Sealed quotations are hereby invited by the undersigned from eligible, experienced and authorized vendors/suppliers/agencies for the supply of goods/services/works as per the specifications and requirements of Prabhat Kumar College.

Interested vendors may submit their quotations in a sealed envelope superscribed "Quotation for the item of :

1. 20x10’ Flex (black back) with framing and installation, Quantity-3 nos,

to the office of the principal on or before 6^th July 2026 up to 3 pm.

The quotations will be opened on 6^th July 2026 at 5 pm in the office of the Principal in the presence of the quotation committee and the bidders who wish to remain present.

Eligibility Criteria

The bidder must possess the following valid statutory documents:

1. Permanent Account Number (PAN).
2. Goods and Services Tax (GST) Registration Certificate (where applicable).
3. Current Account in the name of the Proprietorship Firm/Firm/Company/Organisation from which all financial transactions shall be made.
4. Trade Licence, wherever applicable.

Self-attested copies of the above documents must be enclosed with the quotation. Quotations without the required documents are liable to be rejected.

Terms and Conditions

1. The quotation shall be submitted on the bidder's official letterhead with complete address, contact number, e-mail ID, GSTIN and PAN.
2. Rates shall be quoted in Indian Rupees (INR) only, both in figures and words.
3. The quoted rates shall be inclusive of all taxes, duties, transportation, loading, unloading, installation and other incidental charges unless specifically mentioned otherwise.
4. The rates shall remain valid for a minimum period of 90 days from the date of opening of the quotation.
5. The materials/services supplied must conform to the prescribed specifications and be of standard quality.
6. The College reserves the right to inspect the goods before acceptance and reject any item found defective or not conforming to the specifications.
7. Payment shall be made only after satisfactory supply/completion of work and submission of original bill/invoice along with all supporting documents, subject to availability of funds and completion of necessary formalities.
8. The successful bidder shall be responsible for replacing defective materials, if any, at no extra cost to the College.
9. The College reserves the right to cancel the quotation process, accept or reject any or all quotations, wholly or partly, without assigning any reason whatsoever. The decision of the Principal shall be final and binding.
10. Incomplete quotations, unsigned quotations, conditional quotations or quotations received after the stipulated date and time shall be summarily rejected.
11. The College shall not be responsible for any postal delay or loss of documents.
12. Any dispute arising out of this quotation shall be subject to the jurisdiction of the competent courts at Contai/Purba Medinipur, West Bengal.
13. The successful bidder shall comply with all applicable Central and State Government laws, rules and regulations.
14. The College may verify the authenticity of the documents submitted by the bidder at any stage. Submission of false or misleading information shall lead to rejection of the quotation and may invite further action.
15. The College reserves the right to negotiate the quoted rates with the lowest eligible bidder, if considered necessary.
